Frequently Asked Questions

How does a travel agent make reservations for IHG?

Go to: www.IHGagent.com. Be sure to enter your IATA number. The IHG Commission Guarantee only applies to this link approved for Travel Professionals. Reservations made elsewhere on this site may result in forfeiture of commission.

Why is my new ARC, IATA, CLIA number not recognized in the system?

Although IHG subscribes to ARC, IATA and CLIA to maintain its reservation systems, updates to the system are only made monthly. To have your information entered into the system immediately, you can fax your current letter of accreditation to: +1-770-604-2181.

I have a new travel agency but my agency is not yet a member of ARC, IATA or CLIA. How can I get an ECS identification number?

You cannot receive an ECS identification number if your agency is not a member of ARC, IATA or CLIA. However, services such as IATA have various products available for any size agency. Go to: www.IATAN.org.

What do I do about a change of address?

IHG subscribes to ARC, IATA and CLIA to maintain its reservations systems. This information is updated monthly. If you would like to have your change-of-address entered immediately, you can fax the new information along with your current letter of accreditation from ARC, IATA or CLIA to: +770-604-2181.

Are all rates commissionable?

No. Most rates are commissionable, however there are a few exceptions:
• Some countries have special government rates which are not commissionable such as Australia and Canada.
• Rates negotiated directly with hotels may be non-commissionable.
• Some special promotional rates are not commissionable.
• Deeply discounted or package rates are not commissionable.
• There is no commission on industry discounts or family rates.

What should I do if I have not received a commission on one of my reservations?

Is it possible that not enough time has elapsed? Remember: Commission payments are made 15 business days after the end of the month of guest departure. A Commission Payment Schedule is available online.

You may also want to check your complete list of commission payments to ensure the payment has not been overlooked. Log-on to view 18 months of commission details or process commission requests.

Is there a deadline for sending commission requests to IHG?

Yes, there is. IHG will provide support and assistance for any unpaid commission, and will guarantee resolution if the reservation was made through an approved channel and was received within six months of the date of stay.

Can I still deposit a check that is over six months old?

In most countries, checks become void after six months. For questions regarding a particular check, please e-mail check details to: Commission.services@ichotelsgroup.com

Do all hotels pay commission via ECS?

No. Although the vast majority of hotels participate in ECS, there are some that choose to pay commissions directly to the agents. You can view a list of Non-participating Hotels non-participating hotels online. Also, please note some countries such as South Africa require that by law that you to invoice them directly.

What is the 3.5% customer service fee?

Providing you with the best service possible is our highest priority. To ensure that we continue to offer you this high level of service, a nominal 3.5% processing assessment is deducted from your total commission payment (net commission 9.65% on a 10% commission).

If, after consideration, you choose to be removed from ECS, you can request the necessary steps to be removed from the program. Even without ECS, you will still be able to receive commission payments directly from each hotel. Please e-mail questions or comments to: commission.services@ichotelsgroup.com.

How are ECS payments affected by currency exchange?

When there is a difference in the value of the USD at the time of reservation vs. the time of payment, the difference is applied equally to every foreign exchange (FX) transaction paid via the ECS program.

If the difference is a loss, the total value of the loss is divided by the number of FX transactions. The result is then deducted for each transaction.

If the opposite is true, in other words, if there is a surplus, that surplus is divided by the number of FX transactions and the result is added to each FX transaction.

What if I want to change my payment currency?

You can change your payment currency by sending your request to: commission.services@ichotelsgroup.com. Be sure to include your agency name and ARC, IATA or CLIA number in your request.
